Data we control

When you visit this website

Our host, Cloudflare, receives your IP address, browser details and the pages you request, so it can deliver the site and protect it from attack. We do not run analytics, advertising or social media trackers on this site, and we set no cookies. See the cookie notice.

Lawful basis: our legitimate interest in running a secure website.

When you book a demo or contact us

We keep your name, firm, role, email address, phone number and anything you tell us, so we can arrange the demo and reply to you. We keep these details for up to two years after we last spoke, unless your firm becomes a customer.

Lawful basis: our legitimate interest in answering enquiries, or steps you ask us to take before a contract.

When your firm is a customer

We keep the names, roles and contact details of the people we deal with at your firm, plus billing and support records. We keep account and billing records for six years after the contract ends, because tax and company law require it.

Lawful basis: performing our contract with your firm, and our legal obligations.

When we email you about Juravo

We may send business contacts occasional news about Juravo. Every email has a way to unsubscribe, and you can ask us to stop at any time.

Lawful basis: our legitimate interest in telling business contacts about our services, within the rules for electronic marketing.

When you call us

We may record calls to our own team for training and quality. We tell you at the start of the call. We keep these recordings for up to 90 days, unless we need them longer to deal with a complaint or a legal claim.

Calls we handle for law firms

When a firm uses Juravo, its calls run through our phone system. Juravo records the call, writes a transcript, drafts an attendance note after the call ends, matches the caller to a contact in the firm's practice management system, and files the call to the matter the firm chooses.

For this data the firm is the controller and we are its processor. We act only on the firm's written instructions, under a data processing agreement, and we do not use call content for our own purposes. If you are a client of a firm that uses Juravo, the firm's own privacy notice explains how it uses your data, and you should send requests to the firm. We will help the firm answer them.

What we process

  • Call details: phone numbers, names, times and durations
  • Recordings, transcripts and attendance notes
  • Contact and matter details read from the firm's practice management system

Calls with a law firm often contain confidential and sensitive information, including details of health, family or criminal matters. Access is limited to the firm's own users and to our staff who need it to support the service.

Automated drafting

Transcripts and draft notes are produced by software. A person at the firm reviews each note and chooses the matter it is filed to. Juravo makes no decision about anyone that has a legal or similarly significant effect.

How long it is kept

The firm decides how long recordings, transcripts and notes are kept. When the contract ends, we return or delete them as the data processing agreement sets out.

Telling callers

Firms must tell callers that calls are recorded. Juravo can play a short recorded notice at the start of each call to do this.

Who we share it with

We share personal data only with:

  • providers that help us run Juravo, such as hosting, telephone networks, transcription and the practice management systems a firm connects, each under a written contract
  • other companies in The Meraki Group, where they help deliver the service
  • our professional advisers, such as lawyers, accountants and insurers
  • regulators, courts or the police, where the law requires it

We do not sell personal data. Customers can ask us for our current list of providers.

Where it is kept

Juravo's phone system and call data are hosted in the UK. If a provider processes data outside the UK, we protect it with safeguards the UK recognises, such as the International Data Transfer Agreement.

We encrypt data in transit, limit access by role, and review who has access.

Your rights

You can ask us to:

  • give you a copy of the personal data we hold about you
  • correct data that is wrong
  • delete your data, or restrict how we use it
  • stop using your data for marketing, or because of our legitimate interests
  • send your data to you or another organisation in a machine-readable format

Asking is free. We will reply within one month, and we may need to confirm who you are first. Email process@themerakigroup.co.uk or write to the address above.

If you are unhappy with how we use your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
